 11th APB Contemporary Arts in Creative Theatrical Practices: Local Wisdom Within

During the APB program on the Yogyakarta campus, the hosts scheduled two Directors Meetings: Tuesday 18th September (9:00 to 12:00) and Thursday 20th September (13:00 – 15:00). These were fully attended by Directors and nominees of the participating schools.

The source of these minutes and note are Silvia Purba (Yogya SENI); Xu Jiali (STA); Aunrey Mellor (LASALLE) with input from Ricky Abad, Sarah Miller, Michael Earley.

Attendees:

Schools attending the APB Yogyakarta event included 18 member schools and four guest schools.  The Indonesian guest schools gave performances and participated in all events except the Directors’ Meeting.  The Indonesian guest schools were:

1. Festival of Performing Arts. The allocated duration for each delegation lasts approximately 30 minutes.
2. The performances by the university host are based on the traditional arts which include dance and music, Bedaya and Serimpi (Classical Javanese Dance), Wayang Cinema, and the musical drama performance.
3.    Workshops on Theatrical Art, Traditional Dance Art, and Traditional Music Art.

There being no advance agenda, though Yogyakarta had a printed agenda (included above) the meeting was Hosted by Prof. Dr. Yudiaryani, M.A (Yogyakarta ISI) and Chaired in English by Aubrey Mellor (LASALLE).  The following items (not necessarily in this order) were discussed.

Congratulations and thanks.

Prof. Gong Baorong, General Secretary of APB:  On behalf of APB, expressed great appreciation to the host, for organizing the event. Thanks to Prof. Dr. Yudiaryani, Silvia Purba and ISI staff and students.  Members applauded in support.

Introductions:
Members around the table introduced themselves.  Aubrey introduced the new Dean of Performing Arts Professor Michael Earley, replacing Amanda Morris.  It was noted that Professor AHN Chiwoon of Hoseo had suffered physical damage which prevented him being here with his students.  It was noted, with congratulations, that NAM Geung-ho of K-Arts is now the new Dean of Drama.  NIDA, Director Kate Cherry was represented by John Bashford,  was welcomed back, together with a record number of Australian schools (all four member schools attending from Australia).

Apologies
Noted that NSD of India was currently experiencing visa problems to Indonesia – they are listed as participating in the Yogyakarta event but never arrived. It later proved that problems were at the Indian side. No word from Waman Kendre
Apologies were conveyed by Jiali on behalf of National Academy of Chinese Theatre Arts (NACTA) which is currently busy; and though it has been experiencing email/contact problems; but they did know about the APB gathering in advance.
Apologies from Professor Mohammed Israfeel (Saheen) of University of Dacca where his students are committed to a conflicting festival in Delhi.
Apologies from Le Quy Duong of MyPhat, Vietnam, together with an offer to host APB in 2019.
Stephen Fernandez of IPAG, Mindanao, Philippines advised that he is currently touring with his students in the United States.
No news from Toi Whaakaari, Wellington, New Zealand except it is currently without a Director. NOTE: please refer to recent emails for the update of Toi’s contacts.

Minutes from APB 2017 read and accepted.

ITI/UNITWIN:
Prof Gong read a letter from the Director of ITI, Tobias Biancone, who expressed regret at not attending Yogyakarta, despite APB being founded by ITI. 
The letter also contained news that ITI has rejected APB’s formal application for group membership of UNITWIN.
There was no information about the next UNITWIN. 
Prof Gong Baorong, Ricardo Abad and Aubrey Mellor all attended and supported the UNITWIN student theatre festival in Segovia, Spain, July 2017. 
STA, Ateneo and Lasalle have all joined UNITWIN and will share information when received.
 
Presidency of APB
Aubrey:  Professor Waman Kendra will soon complete his four year tenure as Director of NSD, therefore the position of President of APB becomes vacant. The previous and inaugural President of APB, Anuradha Kapur, was also the Director of NSD. We await news of the new appointment. Ricardo Abad is current Vice President. 
Owing to lack of official information, the meeting did not nominate any new APB president, though members were invited to think about possibilities with an aim to decide by email if necessary.

Host of 12th APB event in 2019

Aubrey read the intention letter from Vietnam; MY PHAT offers to host the next event in Vietnam *.
Prof. Gong: If there is no host in 2019, STA might host a directors’ meeting as part of another STA event. 
Michael Earley: Difficult to afford a full scale festival, maybe 3 schools could host three smaller gatherings if necessary. 
Prof Goessner: It is time for Japan to host an APB gathering, but Toho is not yet ready. It might be possible for them to collaborate with other Tokyo schools, such as Nihon – but both Toho and Nihon are also members of ATEC which has an annual fee of 1000 US$.

NOTE:
* It was later confirmed by group email as to be hosted in Hanoi in last week of September 2019. (between 22nd and 29th)

Suggestions to APB Event
Sarah:  Should we consider the duration of the works? Length put stress on the schedule.
Budi:  We find there is not enough time to discuss the students’ work, better to stay at the performance venue to discuss the work immediately. (NOTE: This was immediately implemented)
Hardy:  Maybe we need a formal format or a template for the event. No more than three performances a day, within 7 days. Need to build regulations; 30-40 minutes long will be appropriate. (NOTE: Three performances per day has long been in place, and rarely exceeded; 50 minutes has been the formal limit when less schools participated)
Budi:  Better to have a fixed period time to host the festival every year.
Aubrey:  Even ATEC, every May, cannot specify exact dates in advance. Hosting has to fit the host school.
Sarah:  Announce the date 9-10 months in advance will be good.
Budi:  It is good to have students to device a work together.  (NOTE: the collaborative  works in the past and at this event are a welcome result)
Ricardo:  We should find more ways for students to interact, collaboration together.
NOTE: in the past, memorably in Taipei and Shanghai, volunteering students were encouraged to work up further collaborative events – a Cabaret at TNUA and a Directing student’s physical theatre performance to Ravel’s Bolero at STA in 17.
Dr. Ling Ling Chen from TNUA expressed concern that the discussions following the performances were unsatisfactory; she suggested that the discussions be chaired and be focused strongly upon pedagogy.
NOTE: this suggestion was warmly supported as important to the teaching and learning at the heart of APB gatherings.
Dr Yudiaryani suggested we articulate a new model on membership policy, Performance regulation, regulations for submitting academic papers etc.
NOTE: It was suggested that the current APB systems, guidelines, policy and protocols be written down and distributed for input from members. Aubrey Mellor volunteered to do this and a paper was sent out by the end of October 2019. (They are included in Attachments to these minutes)

NOTED: 
• APB Seni Yogyakarta held the second APB staff conference for academic papers and the first Student conference for students’ academic papers.  This represents a major initiative in APB. 
• It was further noted that workshops offered introductions to a range of Indonesia’s cultural traditions, giving added value to the festival. 
• The Directors also applauded the Fringe activities that offered stall, crafts, food and beverages as well as impromptu performances from students in other faculties.  
• These additions were commended as valuable initiatives and commended for future APB gatherings.
• Student meetings are scheduled and minutes collected.  Future hosts should consider the students’ suggestions. The minutes of student meetings should be circulated as some comments might require an agenda item for Directors’ Meetings.

Membership of APB

Aubrey: Commended the practice when the host school invites other schools from its nation as giving a stronger sense of the host country – eg India and Indonesia both invited guest schools and these were much appreciated.

Kyoto University of Arts and Design, Japan, formally applied for membership and was invited as observer to this Festival.  Professor AIKO Hirai will later circulate material on her school via email.

Dr. Yudiaryadi pointed out we need to control the number of the member schools, it has put a lot of pressure on the hosting schools.

NOTE: There was no final decision on number of schools, but proposed membership is always discussed and voted upon. Policy has always been to share as widely as possible. Annual event is the Directors’ Meeting, but success of APB is built upon student participation.  But it is never expected that all schools will be able to bring students every year.  In Yogyakarta, of the 22 member schools, eight (8) did not bring students.

Sarah: Keen that we continue to work to recruit a school from Cambodia, Laos and Myanmar.
Aubrey: Contacts have been made and some Cambodians were invited to this but could not make it.  Michael will be looking close at the Battenbang circus school in a few months.
Aubrey: Invitation was also extended to Travis Preston, Dean of Theatre at Cal Arts, California, but USA membership has never been fully discussed – a case has been made also for University of Hawaii which published much on Asian Theatre.
Toi Whakaari in Wellington, New Zealand, is undergoing a change of Director, but new contacts have been circulated by email and need to be incorporated in everyone’s APB Group contact list.  Aubrey understands it is still keen to remain a member.

Farin: Keen to get Iraq and other theatre schools from Mideast. “I think it is our duty to take care of the countries in trouble. This year the quality of the shows have much higher quality than last years. We are witnessing something great. On the other hand non-member schools are also trying to do something really good. A Fringe festival on the side will be good. For Directors Meeting, Staff Conference and Student Conference, it will be good to invite master students to join us to deliver papers. Lecturers and students paper can be put into APB journal.”
NOTE: Last APB in Shanghai, Farin brought a university group from regional Iran and their work was fascinating to all.
Prof Low of Brunei praised the APB as an important meeting place for pedagogy, information sharing and contacts.
Prof Hardy and Budi Miller gave strong support for collaborative works  being created during the APB gatherings.

Upcoming events, information about other theatre/training events:
APB contributes annually to information sharing on regional and International events.
• It was noted that ATEC events happens in May every year, with every other year Beijing hosting the event. In 2018 it was hosted by Chung Ang, Seoul, South Korea.
• Prof Gong mentioned the International University association in Russia
• And the WTEA World Theatre Education Association, in October next year.
• UNITWIN membership is still under debate – next event unknown.
• IUTA is every two years and is good for staff papers; this year was in Moscow, and in 2020 it will be at the Cultural Centre of the Philippines, in Manila, Philippines
• Asian participants are still sought by ISHS – International Society for Humour Studies; next year will in Austin, Texas, in mid 2019.
• GATS – Global Alliance of Theatre Schools – seems currently suspended.
• ALIA – Asian League of Institutes of Arts – is active. TNUA, KUAD, LASALLE are members, But it is for multi-faculty arts programs such as Yogyakarta Seni and VCA.
• VASTA – Voice and Speech Teachers Association – Lasalle hosted in 2016.  Information from Budi
• OISTAT - Scenographers, Theatre Architects and Technicians – represented in Asia by TNUA which hosted a conference in 2017.  Contact TNUA or Leon Salom at VCA.
• EurASIA theatre campuses in Brussels seeks more Asian members, but participants must pay their own way. Contact Helen Ibrahttps://www.facebook.com/helen.ibra

Proposed collaboration programs or projects among the member schools of APB
• STA has 3 international journals calling for papers.  contact Gong Baorong
• ISI has 2 international journals call for papers. Contact Prof Yudiaryardi
• APB is currently considering an anniversary publication drawing from the past 11 gatherings.  We could aim for the 15th anniversary in 2022. Volunteer editors needed.
• LASALLE has one arts Quarterly called ISSUE. It has themed essays. Contact Provost Venka Purushothaman

Directors congratulated the recent collaborations (LASALLE-Chulalonghorn-HKAPA in 2017)
TNUA-Chulalongkorn in 2018) It was noted that TNUA and CU had planned their collaborative work over three years, through correspondence and discussions. Each school prepared a separate work then in July 2019 came to CU in Thailand and rehearsed the collaborative work, performing it in Thailand, at APB in Yogyakarta and in China at a festival in October. 

Other business:
Kim Soogi, from KNUA, expressed pleasure in APB value for students,
Glenda Linscott, from WAAPA, expressed pleasure to be part of APB.

APB Website
Appreciation was given to STA for maintaining the APB website and members asked to ensure its logo and link is included with member schools web pages.  Members were encouraged to use the APB website to bring attention to material and events promoted on the websites of member schools.

APB Contacts
A list of attending schools and their contacts was circulated in hard copies for all. Members were reminded that it was important to keep Jiali advised of all contact changes.

Aubrey: In future we should collect names of all participants, groups under either schools or as free-lance contacts. These should include all students and all staff, not just the Directors.

Communication/correspondence:
Aubrey mentioned NACTA contact address continually bouncing and his concern that perhaps they didn’t get information about APB 2018 (Jiali later assured everyone that they did receive information).  Exampled as important to have personal contacts as well as official school administrative contact. Shanghai as coordinator will maintain the email and contact list.
• Also, it was good if APB had an official website and link each other member. Jiali responded that STA will renew the website and solve the problem because they have budget for it. Furthermore, regarding ISI requested of APB official letter and stamp, STA already made it in digital version.

APB in Vietnam 2019, Direct flight to host city is preferable to having to change at another airport.

Membership.
Peter spoke in support of KUAD as APB Member (it is customary to consult the existing members of the country before supporting new membership automatically) : In term of KUAD membership, and for the benefits to Japanese theatre training, it will be great if Kyoto could join.
Yudiaryani: It is good also if other art university /institution to join as member beside ISI Yogyakarta.  Participation of the other three Indonesian schools and other arts departments of Yogya SENI was noted and appreciated.  NOTE: APB member schools later sent strong support for the Sulawesi school which suffered greatly from earthquakes and tsunami.

Number of attendees from each school.
Gong: Usually no more than five from each school. Canada more than 5 (?). Is it okay if we invite them. If yes I will inform them about it. I want to encourage them. Limited the performers, who comes first they will serve.
Sarah: we have to pay for additional students. Over 5 students and 2 staff. At APB 2017 in Shanghai, Hong Kong paid for all 23 students. We can ask students who afford for it. Students often do their own fundraising.
Hardy: how many people for host to accommodate the delegation?
Aubrey: the protocol says 2 staff, 5 students with extras paying for themselves, but STA often supports over-runs in student numbers. I think the number is always repeated in official invitation emails.
K Arts: The administration person received the email, and then let us know the numbers.

Other events
ALIA: they very interested in visual arts,
ITI,  via UNITWIN invites Art School/University membership.
UNESCO-ITI: John Bashford, NIDA, before departing for his light, leave us, urged us to be part of that. It will held in Burkina Faso. A lot of American Schools and European. I
Members were urged to share information they have so others can consider to participate. To meet others. If you know any interesting conference elsewhere please inform.
Use official contact to Shanghai. Maintain the email.

Website. It is good if we have the website so we can link each other.  It was noted that schools do not promote their activities on the website itself; but is the APB website has links to all our schools, we can view activities and news from the various websites of the member schools.
Jiali: I will renew APB website, and we have budget. I will try to solve this. ISI ask official letter and stamp, I have digital version, we made it and digitalized it. I will manage this after I go back to Shanghai.
Aubrey: link and put email address. Images for the gallery are welcome. Also it is good each of us have the APB link used and promoted in our school’s webpage.
Aubrey: it is good if we could help Shanghai with any needed website content, but to also maintain our own. So every school can share link of the website. We do not need IT person at this moment, maybe in the future.

Papers and Publications.  (Possibility of members contributing to others and of an APB publication)
Sarah: I did not know. Is it a report? A publication? Can students be part of it? Some want to make research. Because it is vocational so they want to make creation base on research.
The content of website is activities of APB every year instead school activities.
Farin: Journal, publication. Papers.
Aubrey: We can recommended a conference of papers, but it is not yet an apb decision; but it is the host option. We do not have to present papers. There was a request many years ago by Chula and Shanghai to deliver paper papers by staff and by students – Chulalongkorn urged that we host student papers as their school is primarily academic. Though STA has hosted staff papers in collaboration with NACTA, this year is the first time student papers have been included, and the standard is pleasingly high.
Students have more opportunities to share their knowledge. It is good they share their paper.  A lot of students are curious about others’ method of training, how many hours they work etc
Yudiaryani: may be all of you notice from the journal. It is the first journal. Academic network through journal. May be web and journal needs a lot of money. I don’t know .
Sarah: an interesting challenge
Budi: good opportunity for students to be able to articulate their works.

Yudiaryani: we have two publications. Resital (acredited) and DTR (dance, theatre, puppetry). Resital, publish in bilingual (Indonesia and English), DTR only in English.
Gong, STA: regarding the issue (publication) we have 3 journals. We are also thinking Chinese journal, we welcome you to send it.
Elizabeth; I think papers is important for students. Able to contextualize them. As educator. Idea: what of short journal we looking at?  Are we asking for ourselves or if the students wants it? (discussion session)
STA: want to research work, China want to finance the southeastern theater. To publish this kind. This is our initiative. Thank you. Encyclopedia. Next year where to have the festival? STA propose the experimental theater as the issue for next year and include Directors Meeting. But we will limited the participation, the events will e held in October 2019


The post-show discussion.  
Tainan: we appreciate what they do. Please give us feedback. It is very important. We should arrange the discussion more serious.
Hardy: we have to have discussions. Q&A is important. But perhaps on another day.
Focus is the presentation.  We have the performance and paper on production. Give respect to another production.
NOTE: preference was expressed for discussion after the performance while still strongly in mind.  Comment was made about the performers being possibly tired, or perhaps on a high.

Peter: in apb we don’t give a fee.  Every country has its own regulations, the funds usually more interest in conference than performance. But I have same thinking; we spend a lot of money to production.  However, a lot of students sleep during the conference because it is too early and too much. We have to change it.
Aubrey: what it is not working?
Budi: is there any way to have proper time for discussion session on the work?
Aubrey: APB has both performance and we discussion. We usually avoid critique and focus on feedback.  We need a person chairing each session, ideally someone informed about the theories used in the production and knowledgeable about how it fits with performance-training in the Asia Pacific. Do we need a separate session?

Thailand & CU, Mongolia.  Schedule is too tight; duration of the performance sometimes does not allow time. A conference aids us to secure funds to attend.

Budi: we talk about research, what your reference, we have to get feedback.
Aubrey: A moderator is always good, if experienced at it.  How many performances are ideal in one day?

Taiwan: I suggest apb consider. Major goal are the works. TNUA and CU devoted a lot of work during summer. We cannot ask student to push them come to conference, but they are actor, not scholar. We should concern to our works.
Budi: they do a lot of energy, we have to respect their energy,

Aubrey: I though Mongolia’s idea to show a short video on their school and their country was a great idea. I helped give context to the work and added to the appeal and the educational value. It is a good idea to give presentation of the school and its country. 
Students remain fascinated by what different schools teach.

Student meeting.
During this session students met together to collect feedback.  If is usual for each school to select two students to attend the student feedback session and works well with black or whiteboard to writing up points for discussion. The year each school brought as many students as were interested, so discussion was wide-ranging and free.  As usual, students lack understand of how the finances work, so it might be important to brief them better in future as in the current financial climate there is no way host schools can afford to offer an ideal festival that meets all expectations. 

We need to focus on what we mostly want from APB and what we do best.
We need to keep ourselves distinct from ATEC and other gatherings. And we need to ensure education value meets schools’ investment of time and finances.

The meeting was closed in haste at 15:00 to get to the next performances, but it was clear that members were relaxing and opening up, enjoying expressing and sharing views.  Perhaps we should hold an evening meeting in a more informal context but with a specific agenda each meeting.
